In 2025, social workers are facing increasing demands on their time and attention. Administrative tasks, particularly documenting assessments, often consume hours that could be better spent engaging directly with individuals.

In response to this System C has partnered with Microsoft to create FormFlow AI Assistant, a tool that can support social care practitioners by reducing their administration and time pressure burdens. Frontline workers will be able to simply record their assessments or meetings with citizens via smartphone or laptop. The AI Assistant will then transcribe the audio and populate responses to the required workflows, which will improve accuracy whilst saving time on the administrative overhead of typing up meeting notes.

The Key features

In addition to the mobile recording functionality, we’re excited about the tools’ additional powerful features:

Case Notes

That enables users to upload and transcribe case note summaries directly through the mobile recording app, streamlining documentation and saving valuable time.

Enhanced Query Capabilities

This query tool can now search not only conversation transcripts but also relevant policies and procedures linked to each case providing deeper context and smarter support.

Real World Impact at Cheshire East Council

“Usually it can take, dependent on the case and depending on the assessment, a couple of hours to write an assessment. And it was a case or an assessment that probably would have taken me around two or two and a half hours, if not more. It was quite a complex conversation, and it took me 25 minutes to upload and to finalise the assessment.” Andrea Stewart, Social Care Assessor, First Point of Contact Team, Cheshire East Council.

FormFlow AI Assistant helps to empower social workers by significantly reducing the time spent on documentation, allowing them to focus on person-centred care. By streamlining administrative tasks, FormFlow AI Assistant helps social workers dedicate more time to building trust, advocating for vulnerable individuals and driving meaningful change within their communities.

“We don’t want to be sat constantly writing. We want to say, hey, how are you doing? Are you OK? What can we do for you? It is about being person-centred and having that person-centred approach, which for me, is the most important thing.” Alex Haye, Adult and Children’s Social Care Specialist, Cheshire East Council.

Evolving Capabilities with FormFlow AI Assistant

FormFlow AI Assistant continues to evolve. It allows users to prompt the system for more details and tailor outputs to their preferred style. FormFlow AI Assistant can also record multiple conversations within a single assessment, allowing it to draw on information from all interactions. This is particularly important as it can incorporate the inputs from different participants, such as the carer, ensuring that all observations and commentary are considered as part of the overall assessment.

“Even after writing the assessment using the AI and going back and reading it, I was really impressed with the way it had written the assessment, how professional it had written it, the way I would have written it. It’s very rare that you needed to change anything in that it written it really well” Andrea Stewart, Social Care Assessor, First Point of Contact Team, Cheshire East Council.

Benefits for Social Workers & Local Authorities

Social workers who deploy FormFlow AI Assistant can expect faster assessment writing, improved consistency and structure, and more time for direct work with individuals. The tool adapts to their writing style and preferences. As artificial intelligence continues to develop, FormFlow AI is becoming an essential part of modern social work practice by enhancing efficiency without compromising the human touch.

“AI adoption is a key priority, and the team will be working closely with customers to ensure a smooth and successful implementation. Their feedback will be instrumental in shaping the future of FormFlow AI Assistant and driving innovation in Social Care.” Joanna King, Product Director – Social Care, System C

We are proactively working with a number of Local Authorities across the UK to support them with localised benefits and impact forecasts. Our solution enables social workers to complete full needs care assessments more efficiently.

Helping them to potentially save an average of 1 hour and 12 minutes per assessment. These time savings can significantly help to reduce administrative burdens and can lead to a 20% increase in productivity. This boost in productivity supports local authorities in reducing waiting lists and gives them their time back to focus on delivering care.
