Paper Picnic - digitising the patient record

System C and the digital team at the Sheffield Children’s NHS Foundation Trust have joined forces to undertake a programme to identify and digitise patient records.
The programme would run in three phases - Visualise, Optimise, and Digitise.
The aim of this phase is to discover all paper documents used by the nurses when caring for a patient in the Trust.
- All care documentation will be laid on the floor of the venue to form a picnic blanket.
- There are eight categories for the documents to be grouped under.
- Subject matter experts will be available for discussion and guidance.
- The information gathered would help form the plans for the next stage.
During this phase, workshops would be held to review the documents identified in the ‘Visualise’ stage. Duplicate and unnecessary documents would be removed to ensure what is left is fit to go into a digital format.
The final phase is to digitise the process using System C’s solutions, so the necessary tasks can be performed on mobile or desktop devices and at the point of care.
The first ‘Visualise’ session took place at the Kettering General Hospital on 1st October 2021. The collaboration with the Sheffield Children's is the second in the process
